In case you want to report on a finished work order (e.g. Quality issue) that might need to be approved by someone else, you are able to send a work order based on a template to an email recipient.



Creating a work order template


A report template is required defining the included fields. These templates are created in the 'Account settings'. Only users with permission to account settings are able to create those. Therefore, make sure you have eligible permission to access and create a report template. Please follow the subsequent instruction:


1. Navigate to 'Account settings' > 'Work orders' > 'Work order reports'




2.  All work order reports are here listed including the defined name and the associated work order type.


In order to add a new report, click on the button 'Add work order report' that will open up a module window in which you define the template name and select the associated work order type from the drop-down menu. In the lower section, you are able to select the fields you want to have included in the report. Click 'Save'.




Sending finished work orders


Once you've created the report template, navigate to the work order module. Select a finished work order and click on the envelope icon in the action column.



A new window opens that is divided into a general section where you add recipient email (can be internally/externally) and select a template that has been created associated with the work order type in the account settings. Additionally, a automatised message has been created which can be customised. 


The second section relates to the fields that will be displayed in the report. You can select the fields you want to include. Once you've done with that, click 'Send'. It is always sent as a PDF.
