The resource calendar view gives an overview of teams, team members, work schedules (shifts), rotations (which include absences, travel, sick days, and vacation), and tasks.

You can view the calendar in 7-, 30-, 60-, or 90-day windows.  


You can choose how many personnel you wish to see per page (20, 40, 60, 80 or 100).

Rotation types are displayed by color according to what you have configured in your team settings.

Warning icons indicate where overlapping rotations occur.

The resource utilization table automatically updates as you [add rotations and activities] or [edit or delete work orders]() or [rotations]().

Add rotations and activities

  1. Click on the grid square for the relevant person and day in the calendar.
  2. Click Add new rotation or Add new activity.
  3. Complete the required information and any optional details.
  4. Click Save.

Edit and delete work schedules

A work schedule is a specific day's shift within a rotation.

  1. Click on a work schedule in the planning board.
  2. Click Edit work schedule.
  3. Edit the Shift start time and Shift end time as required.
    • Click Delete to delete the work schedule.
  4. Click Save.

Edit or delete a rotation

A rotation is multiple shifts that can recur on a daily, weekly, or custom basis.

You can also use rotations to register absences, travel, sick days, and vacation.

  1. Click on a work schedule from the rotation you want to edit in the planning board.
  2. Choose one of the 2 rotation options:
    1. Click Open rotation to edit the rotation.
      1. Make the required changes.
      2. Click Save.
    2. Click Delete rotation to delete the rotation.

Filter and search

Filter and search based on work packages, departments, roles, skills, rotation type, and more to display information for only the relevant personnel.


You can also choose what information is displayed in the calendar using the settings (gear) icon.

Select from the available options to only display that information in the calendar.

Download options

Use the Download dropdown to export data from your calendar. You can export the following information:

  • Resource calendar (Excel)
  • Manpower plan (Excel)
  • Man-hours summary (CSV)

Resource calendar

The resource calendar allows you to build a plan for any given time period or a given work package period that shows who is assigned to what work. The plan can be customised to include any calendar information (populated from the calendar view) and personnel fields, including custom fields in the order that you prefer to view it in the download.

For each date in the chosen period, the plan shows what work package each person is assigned to, their work schedule, team name, base, and unavailability (if relevant).

The resource calendar is customizable to cover a work package date period or any chosen date period and personnel fields in the order you choose.

The resource calendar will be exported and depending on the size of the file (the amount of personnel and time period chosen) this may take a few seconds. You can see the progress of the export at the top of the page with a tooltip showing the % progress. When the file is ready for download you will get a message in the notification centre with an option to download the file to your downloads folder.

The notification centre will inform you when the plan is ready to download.

Manpower download

  1. Go to Resource calendar.
  2. Click Download.
  3. Click Manpower plan.
  4. Select the relevant Work package to filter the Teams dropdown.
  5. Select the relevant Team.
  6. Click Export.

The manpower plan shows color-coded blocks that correspond to the rotation types configured in your account. To making assignment easier, the grey blocks in rows 2 and 3 show how many positions within the team are filled and open on each day.

Man-hours summary

The Man-hours summary shows you the resource utilisation report. The report lists all employees, their available hours, registered unavailability, planned work, and resource utilisation (planned hours / gross work hours).

It is possible to download the weekly, monthly and yearly reports by filtering with these buttons: week/month/year.
